For a one-day conference, the airport is not a detail. Delegates fly in, and every minute spent crossing the city is a minute taken off the agenda. A hall near the terminal changes the shape of the day: people arrive later and leave earlier, and the programme does not start with an apology for traffic.

One detail that decides the day

Access time. If the room is available at 09:00 and your conference starts at 09:30, the first half hour is lost to setup. Ask when the room is free, whether setup time is charged, and whether you can leave equipment overnight. A hall that gives you the room an hour early is worth more than one with a slightly lower rental.

Parking belongs in the same conversation. Delegates driving in from elsewhere in Assam need somewhere to leave a car for a full day, and free on-site parking removes a queue at the gate that nobody budgeted for.
